Job Description

The Administrative Assistant fulfills the following responsibilities by utilizing knowledge of medical terminology and administrative procedures in a family health team setting.

Responsibilities

Answers telephone calls and assess urgency of call. Directs caller to appropriate person.

Greets patients and visitors and directs accordingly.

Updates patient information, including patient name, address and demographic information. Rosters patients as required.

Assists patients with the completion of forms as necessary.

Schedules patient appointments. Notifies patient of changes/cancellations as required.

Books diagnostic tests and appointments for patients at hospitals and other medical facilities.

Reviews and calculates payments and maintains all payment records. Receives and processes payments and posts all charges. Performs reimbursement follow up.

Prepares and submits insurance claims for reimbursement.

Enters, verifies and submits billing information.

Obtains patient charts, medical records and lab reports and verifies for completeness. Copies, distributes and files patient charts, medical records and reports.

Compiles and posts information on standard forms.

Maintains logs and records of activities and prepares routine summaries as necessary.

Utilizes computer to input and retrieve appointment data and patient information and produce reports.

Prepares correspondence and performs other word processing duties.

Telephones, faxes and e-mails a variety of material.

Sorts, screens and distributes incoming mail.

Performs clerical and other administrative functions incidental to clinical reception activities.

Environmental/Working Conditions

Work is performed in an office environment.
Work may be stressful at times due to the pace and workload of the office. Interaction with others is constant and often interrupted.

Physical Demands

Work may require hand dexterity for telephone and office machine operation.
There may be excessive standing and walking. May be occasional lifting of supplies up to 20 lbs

Job Qualifications

Proof of graduation in secretarial and medical terminology studies from a recognized Canadian Community college. Knowledge of medical terminology and anatomy as well as diagnoses/procedures codes within the medical field.

Minimum of two years recent experience in a physician’s office or an equivalent health care setting.

Experience in a multidisciplinary health care setting would be considered an asset.

Excellent written, verbal and interpersonal communication skills are essential.

High level of organizational and time management skills and ability to multi-task.

Ability to work under pressure, with interruptions and still meet deadlines.

Ability to work both independently and as a team player.

Ability to work flexible hours, including evenings or weekends.

Proficiency using information technology, email, and a variety of software programs. Excellent typing skills, and proficiency in Microsoft Word and Excel is essential.

Experience and interest in using client scheduling software is an asset.

Experience using a multi-line telephone system with excellent telephone communication skills including the ability to take clear and accurate messages.

Professional grooming and presentation.

Ability to act with patience, tact and discretion.

Respect and understanding of privacy and confidentiality.

French language proficiency (written and verbal) would be considered an asset.

Employment is subject to a criminal records check.
