Cisco Telephony Upgrade
Where: All Campuses
What: Cisco Telephony phone system
When: Friday, December 18, 2020 from 6:00pm.
ITS will be upgrading the Cisco Telephony phone system from the current 10.5 version to v12.5 beginning Friday, December 18 at 6pm. The upgrade will require resets to College phone units and configuration changes to Softphone settings. The primary changes will occur Friday evening after 6pm and full testing of detailed functionality will continue Saturday, December 19. There should be minimal disruption to phone operations. Softphone users will be provided instructions on updating setting required for the new version.
The upgrade is required to maintain support and to provide access to new and improved functionality and features.

Outreach
What is happening:
A migration to SharePoint Online from the aging SharePoint 2010 platform will be done in stages starting this month to help bring your stored content into the cloud and take advantage of the latest collaboration, intelligence, and security solutions within Office 365.
How does this impact you?
This migration poses no risk to your documents currently stored in SharePoint 2010. Algonquin College’s Information Technology Services (ITS) team will commence the migration in a seamless fashion that will not impact current operations. Employees using SharePoint Online and Microsoft Teams will be able to manage their content in a way that lends itself to better collaboration. Everyone currently using SharePoint 2010 is encouraged to review their current stored files, and where appropriate complete a housecleaning of out-of-date material that does not need to be migrated to SharePoint Online and Microsoft Teams.
When the migration of sites commences, site owners and users will be notified so that they will know when to start using SharePoint Online instead of SharePoint 2010.

Outreach
We have been made aware that Bell is experiencing a network outage. This outage is affecting residential Bell users as well as the College.
Some areas are slowly being restored. We have not received confirmation from Bell that there is stability in their network.
Until stability from Bell is achieved, users may experience the following issues:
- Users at the Perth and Pembroke campus may not be able to connect to several applications. The phone system may also not function.
- Woodroffe campus phone system may not function reliably.
- Residential Bell users affected by this outage will not have access to any services over the internet.
Remote access to email, Office 365 applications as well as access to the College VPN are still functioning (assuming you are not a Bell user that has been affected by this outage). Calls to our Help Desk (613.727.4723 ext. 5555) will work sporadically.
We will be providing an update as more information becomes available.

What: Antivirus Software Upgrade
When: Starting on May 21, 2020
As part of ongoing efforts to protect College computers, Symantec Endpoint Protection will be remotely deployed to all devices running Microsoft Windows and Mac OS beginning May 21, 2020. Additionally, ESET Antivirus will be retired from service.
For computers currently located at all campuses (including lab computers), the new Antivirus software will automatically be installed if they are connected to the network.
For Colleagues working from home, the software will be installed when your computers are connected to the College via Virtual Private Network (VPN). Please note that due to the volume of installations, your update may not occur right away.
When the new Antivirus software has been installed, the current ESET Antivirus icon will be replaced with the Symantec Endpoint Protection one. No further action is required on your part.

While working remotely, some applications will require the use of the Virtual Private Network (VPN) service while some will only require the use of an Internet connection.
Applications that do not require the use of VPN include:
- Algonquin email
- Office 365: Outlook, SharePoint, OneDrive, Word, Excel, PowerPoint, etc
- Brightspace
- ACSIS
- Salesforce (Student use)
- Library databases
Applications that do require the use of VPN would include:
- Workday

- Courses using applications accessible only via VPN

The College digital phonebook is offline
When: Monday, September 25, 2017
The Algonquin College Digital Phonebook that you were accustomed to using is currently unavailable. This service will not be available for the foreseeable future.You can use the following methods to find staff and faculty contact information:
- If you are staff or a student, you can look up college people in Outlook:
- Outlook in Office 365 (online) – Click the grid icon in the top left. Select People, and search for the name of the person.
- Outlook 2013/2016 (desktop) – At the bottom of the left hand menu, select the people icon, and enter the name you are looking for the Search Contacts field.
- Anyone can call the college phone number 613-727-4723, and say the staff’s name when the operator answers.
If you need help with these steps, you can check the ITS Help Centre for answers to your questions.

Status of classroom computer issues including PowerPoint 2016 and videos in Chrome
Problem: When a file is loaded into PowerPoint 2016 in full screen mode, it results in errors.
Solution: There is a conflict with an application on teaching station computers. ITS is removing this application (Zoomtext) from the computers, but this will take time to complete.
Workarounds: There are 2 workarounds:
In PowerPoint, use Reader View. At the bottom of the screen, select the open book icon. Using this view ill not cause errors.
Alternately, you can save your PowerPoint files to PDF and use a PDF viewer (such as Adobe Acrobat) to view the file using PageUp / PageDn keys.

Problem: When using the Chrome web browser to view videos, it has been reported to freeze the computer.
Solution: None at this time.
Workaround: Use a different browser such as Internet Explorer, or Firefox. At this time there is no fix for this issue in Chrome.

Perth telephone system inbound calling outage
The Perth campus is currently experiencing an issue with the phone system as our service provider is having local circuit issues. The four digit dialing (inter campus) is operational and as of 11:00 AM, ITS has made some temporary changes to our phone system to allow outbound calls from the Perth campus to be placed. The impact is that some calls that used to be local will be considered as long distance.
The issue has been escalated to our service provided Bell who is working on addressing the issue. ITS will continue to monitor the situation with Bell and a communication will be sent when the issue has been resolved. Thank you for your patience in this matter. Scheduled Blackboard Upgrade
Upgrade date and time: Sunday, July 9th, 2017 at 10am
Expected Outage: Approximately 4-12 hours
Good afternoon –
This email is a reminder about the scheduled upgrade to version Q4 2015 from the current Blackboard operating system that will result in a temporary system outage. The version upgrade will not affect functionality, but rather will provide better stability and integration with our Student Information System. Users may notice minor modifications to the system, and should you be interested in reviewing the changes, some of them can be viewed at this Blackboard system upgrade site under Q4 2015, or at the Algonquin Blackboard Resources site https://www.algonquincollege.com/blackboard/. We would like to reiterate that we do not anticipate any interruptions to those in summer courses beyond this outage, and that the timing of this upgrade was chosen based on historical trends of low usage for this time of year, therefore having the least amount of impact on its users.

INFORMATION: Improved look for Office 365 and New Self Service Password Reset

The Microsoft Office 365 login page (https://LiveAC.algonquincollege.com) has been re-designed with Algonquin College branding. You will still be able to access Microsoft online applications as before.
In addition, we are introducing a new self-service password reset portal that will replace MyPass. Both staff and students can now change their college network passwords securely while you are logged into your Office 365 (LiveAC) account. You no longer need to use MyPass or call the service desk.
The first time you login to your Office 365 account after this feature is enabled, you will be prompted to enter additional verification methods. This information will be used to identify you as a legitimate client during a password reset or change. Please note, MyPass information will not be transferred over; everyone will need to enter new security questions and answers in the new system.

Due to recent changes made to the College telephone system, and in order to provide an appropriate level of system security, all staff and faculty are requested to reset their voicemail PINS by April 1, 2017.
Please note that the system will not accept easily guessed PINS such as 123456, or 121212. Password cannot contain digits that are dialed in a straight line on a keypad. Passwords must be a minimum of 6 digits.
There are two methods available to you – from your desk phone and from the Cisco Personal Communications Assistant:
From your desk phone
Dial 1400, enter your existing PIN, press 4, press 3, press 1, and enter your new 6-digit PIN.
Or
From the Cisco Personal Communications Assistant
Note: Google Chrome or Firefox are the recommended browsers
Note: This requires you to be connected to the college network on campus or via VPN from another location
1) Go to the Cisco Personal Communications Assistant site (https://10.80.0.61/ciscopca/home.do)

Blackboard is experiencing an issue with logging in

Please be advised that some users were unable to log in to the college Blackboard service on Friday afternoon because of an unplanned outage. This issue was rectified by about 2:45 p.m.
We do continue to work with the vendor to repair the Blackboard notifications area that has not worked for several weeks. The announcements, course updates and grades that normally appear in the notifications area, can, however, still be found on Blackboard.
To see the latest course updates and announcements, users must click on the Notifications Dashboard located just below the Home button. In addition, to see their grades, students must look at each course separately, choosing the course, then Student Tools, then My Grades.

Planned Blackboard outage scheduled for October 21st at 10 pm

In order to install the latest patch provided to us from our vendor, ITS will be temporarily shutting down access to Blackboard for 6 hours starting at 10 pm on Saturday. This patch will address a number of issues that we have been experiencing with Blackboard notifications (updates and My grades).
We apologize for any inconvenience this scheduled outage may cause and thank you for your patience and understanding.

Update #3: Sun.Oct.23:
Further to this morning’s announcement regarding Blackboard courses not displaying using the course tab, please note that you are now able to access course information using the drop-down global navigation tool. To do so, simply click on the “Global Navigation Menu” on the right hand side at the top, just beside your name.
We continue to investigate further, and need to take down the Blackboard system, this Sunday evening at 10:00 pm, for one hour to restore the system database. During that time, Blackboard will be inaccessible.
We recommend that you use Blackboard in read-only mode for the remainder of today (Sunday), and delay any submissions until Monday morning, October 24.
Update #4: Mon.Oct.24:
Further to the weekend announcements regarding Blackboard, we have escalated the issue with our vendor and have taken the necessary steps to restore service. The installation of the patch has been successful.
However one outstanding item remains, course availability. While some students are able to see their course information others are not. To resolve this issue we are completing a restore of the system that allows students access to their courses.
We will send another notice out in one hour with an update or once the issue is resolved.

Final Update: Tues.Oct.25
As of Monday October 25th at 5 p.m. Blackboard continues to function normally following the system update over the weekend. This means that all students and Faculty have full access to Blackboard, including course content, systems announcements, grades (via Course>Student Tools>My grades) and Blackboard Collaborate.
There is no change to the appearance of Blackboard or the way its features are accessed.
ITS continues to monitor the functioning of Blackboard.

Algonquin College Power Shutdown

There will be a campus wide power shutdown starting at 11:00pm on Saturday August 13 and lasting until 8:00am on Sunday August 14. Another notice will be sent out 48 hours before the shutdown.
Please note that this shutdown will affect the entire Ottawa campus except the ACCE Building.

Wireless Certificate Upgrade

Please be advised that ITS will be updating the wireless certificate required to log into the AC wireless network on Sunday, August 7, 2016 at 1:00am.
While this will not cause an interruption to the wireless network, you will be prompted to accept the new certificate for the AC wireless connection once the update has been completed. New Email Rule for college email accounts

Please be advised that a filtering rule has been set on the anti-spam/anti-malware gateway servers to reject JavaScript attachments added to email messages. This change was based on a vendor recommendation in order to help mitigate potential malware contained in files with a .js file extension. Once the rule has been set, email attachments that contain the file extension will be removed from the original email.

The College has implemented numerous controls to limit dangerous phishing e-mails from reaching you, however given the volume of e-mail that is transmitted every day, it is impossible to eliminate all instances.

- Be vigilant! – if you do not know the sender, or the if message you received is obviously spam, sent from outside Algonquin’s e-mail system, then simply and permanently delete your copy by selecting the message and holding Shift+Delete to delete it.
- Forward suspect e-mails it to this special e-mail account: spamorscam@algonquincollege.com, for further analysis. Then permanently delete your copy by selecting the message and holding Shift+Delete. Don’t forward it to others.

B Building 3rd floor network and telephone upgrade

Please be advised that all Algonquin College telephony services, for ALL campuses (Woodroffe, Perth, Pembroke), will be intermittently unavailable on March 7 2015 from 9:00am to 5:00pm (8hr duration) due to a complete system upgrade that is occurring over the weekend. During this time, ALL college telephony services including: incoming calls and outgoing calls to all college extensions and main Algonquin College phone numbers, voicemail, and 9-1-1 services dialed via a college phone device will be intermittently unavailable.
Once the upgrade is complete, there will be no change to how users use the phone system. ALL saved or new voicemail (not in email) will be deleted through the upgrade process. Please ensure you listen to any voicemail saved on your phone prior to 9:00AM March 7 2015.
