Partial-Load Registry (Employee Information)

The Partial-Load Registry at Algonquin College allows current or previously employed Partial-Load faculty to register their interest in working as a Partial-Load employee for the upcoming academic year.

Registered Partial-Load employees will be eligible for priority hiring for available Partial-Load assignments based on the criteria defined in Article 26.10 E of the Academic Collective Agreement Terms and Conditions – December 13, 2021, and the more recent Kaplan Award.

Other-Than-Full-Time Academic Employees interested in receiving priority in hiring should apply to be on the Partial Load Registry for the upcoming academic year. Before applying, employees should consult both the Academic Collective Agreement Terms and Conditions – December 13, 2021, and the more recent Kaplan Award to determine if they meet the criteria for eligibility. Frequently Asked Questions

I am a current Partial-Load employee. Do I need to register?

Partial-Load employees MUST register in order to be considered for inclusion on the Partial-Load Registry and receive priority in hiring for Partial-Load assignments.

Will Human Resources identify a partial load employees months of service for Academic Managers/Chairs?

Yes – once the registry closes on April 30, HR will validate registrants & include months of service

What happens if there are more than two partial load employees eligible for a partial load assignment?

Where two or more partial-load employees would be entitled to be offered the course assignment, the employee with the most service will be offered the first opportunity.

All the partial-loads in question must satisfy the criteria for hiring preference.

Can my partial load assignment be withdrawn?

The offer of Partial-Load employment is conditional on the College determining that there is sufficient enrolment to warrant the assignment being offered.

In the event that a Partial-Load assignment is offered and accepted, and one (or more) of the courses in that assignment is subsequently cancelled, the College is not obligated to replace the cancelled course offering(s).

How are months of service calculated?

As per Collective Agreement article 26.10C

What is the implication of any type of leave on offering of partial load assignments – how do we/do we count the leave or not? Impact of sick, maternity, parental etc.

Leave time does not count towards service time accrual.

If an employee is on an approved leave, the employee would be eligible to register as they would be considered currently employed.

The employee may also choose to apply for an extension to the four (4) year period in the event of birth/parental leave, as per Article 26.10 F of the Kaplan Award.

How long will employees have to register themselves for the following year?

Applications must be received between May 1 and April 30 to be considered as applicants for the following academic year.

How does a professor come off the Registry? Do we empty it every year and require that faculty sign up by April?

Yes, employees must register annually in order to have priority status for the following academic year

Can an employee become partial load by combining teaching assignments across departments/schools?

Yes, as with current practice, if “stacked authorizations” add up to greater than 6 or less then 12, the employee is considered partial-load.  Total of hours is by employee – not by school/department.

What are the criteria by which Partial-Load employees are deemed to have priority in hiring?

As per Article 26.10 E, registered Partial-Load employees will receive priority in hiring if they are currently employed, or if they have previously been employed as a Partial-Load employee for at least eight (8) months of service as defined in 26.10 C within the last four (4) academic years, and the assignment of such course will not cause the employee to exceed the maximum teaching contact hours for Partial-Load employees. Please refer to Article 26.10 E for more detail.

How much service do I have?

A list of service credits is prepared by the College and is posted annually in January. If you have specific questions about your service credits or a specific partial load employment concern, please speak with your Chair. If after speaking with your Chair you continue to have specific concerns, please contact humanresources@algonquincollege.com 

What courses have I previously taught?

The College asks that you keep records of courses that you have taught. If you do not have this information and need this information for a specific reason, please speak with your Chair. 

I want information/access to the partial load registry.

If you have specific concerns related to your employment as a partial load faculty member, please speak with your Chair who will provide you with information pertinent to your concern. 

Can I request an extension to the four (4) year period after giving birth to a child or having become a parent?

Employees may apply for an extension to this period in the event that the employee has given birth to a child or become a parent. See the Kaplan Award (26.10 F) for more details.

How do I identify the maximum number of teaching contact hours that I am prepared to teach?

There is a question on the Partial-Load Registration form where you can specify the maximum number of teaching contact hours that you are prepared to teach.

What happens if I apply to the Partial-Load Registry more than once in the same year and identify a different maximum number of teaching contact hours that I am prepared to teach each time?

If you apply to the Partial-Load Registry more than once in the same year, we will defer to your most recent application (prior to the deadline) when identifying the maximum number of teaching contact hours that you are prepared to teach. Once the April 30 deadline has passed, we will not revise the maximum number of teaching contact hours that you are prepared to teach for that years’ Partial-Load Registry.

Subject to the application of Articles 2.02 and 27.06 A, commencing in the 2018-2019 academic year, where the school or department within a college determines that there is a need to hire a Partial-Load employee to teach a course that has previously been taught by that registered Partial-Load employee in the department/school, it will give priority in hiring to such Partial-Load employee if:

  1. They are currently employed, or if they have previously been employed as a Partial-Load employee for at least eight (8) months of service as defined in 26.10 C within the last four (4) academic years, and
  2. The assignment of such course will not cause the employee to exceed the maximum teaching contact hours for Partial-Load employees.

The offer of Partial-Load employment is conditional on the college subsequently determining there is sufficient enrolment to warrant the assignment being offered. Where two (2) or more
Partial-Load employees would be entitled to be offered the course assignment, the employee with the most service will be offered the first opportunity

In addition to maintaining a record of a Partial-Load employee’s job experience, the college will keep a record of the courses that the employee has taught and the departments/schools where the Partial-Load employee has taught such courses. By April 30 in each calendar year, a currently or previously employed Partial-Load employee must register their interest in being employed as a Partial-Load employee in the following academic year. This individual will be considered a registered Partial-Load employee for the purpose of 26.10 E.

To qualify, you will need to meet the following criteria:

  • currently employed or previously been employed as a Partial-Load employee for at least eight months of service within the last four academic years
  • assignment of additional courses will not cause you to teach more than 12 hours a week
