Adoption Coordinators
Getting Started
The Steps
-
What are Course Materials? For our purposes, the term ‘course materials’ encompasses any item that the student should have to participate in their courses that will need to be purchased. This would include the obvious like their textbooks or course packs (manuals), but it can also be software; kits; special paper or pens; clickers or just about anything else you can think of.
-
Find the right materials: For the most part, Course Material Services is not involved in this step, however, when an Instructor or Coordinator is looking for materials on a subject without something specific in mind, then we can still be of service. We can:
-
Compile a list of titles on a subject from various Publishers.
-
Put you in contact with Sales Representatives from appropriate Publishers
-
Get pricing/availability information to compare books.
-
-
Submit your requisitions before the Deadlines: We cannot guarantee that late orders will be in stock for the start of classes. Please supply as much information as possible to ensure the correct materials are received.
What is the timeline for course material adoption?
The deadline for the submission of adoptions for each term is as follows:
- Spring Adoption Deadline: March 15
- Fall Adoption Deadline: June 3
- Winter Adoption Deadline: October 15
What formats can I adopt?
The faculty member or team will select the textbook and other course materials. Selection of textbooks and other course materials is the purview of the faculty member or faculty team. The format of the resource – digital or print – will be a student choice.
What about bundled resources?
The bundling of a course textbook with an adaptive learning tool is a common practice and one that remains a viable option for faculty and employees. When a decision is made to bundle material into a package both pieces should be required for a student to achieve the learning outcomes of their respective course.
How does Course Material Services know how many copies to purchase?
Course Material Services reviews previous sell-through rates, return policies from publishers, and conversations with individual faculty to understand the utilization of material within the course structure.
My resource was included in student fees. How do you know the sell-through rate?
For resources that were previously in the Institutional Pay Model (IPM) eText Fees, purchase volumes will be determined with faculty consultations and consideration of publishers’ return policies. In most cases, Course Material Services will use inventory management strategies including bin-and-hold, and staggered shipping to manage volume.
What information is needed to complete an adoption?
Adoption Coordinators need the following information to successfully place an adoption in the Online Adoption System:
- Instructor = Course Lead / Comms Writer
- ISBN-13 = This should be the PRINT Textbook or PRINT Textbook Bundle ISBN
NOTE: Course Material Services will find the matching digital ISBN and add it to the adoption in Course Planning. - If you are adopting a resource that does not have an ISBN, please contact Course Material Services and we can issue a resource number for the adoption.
- Title of the Resource
- Publisher
- Edition
- Comments = These notes help inform the Course Material Services team to understand the material being adopted and how it is intended to be used.
- Required or Suggested?
- Update this Learning Resource to the latest edition? = Would you like students to have the most recent edition, even if it is not the one you have identified above?
- Is a previous edition of this Learning Resource acceptable? = Can a student use a previous edition of this resource? When possible, this helps with bringing in used copies of materials.
- Students should already have this resource from another course or level? = If checking yes you must indicate the course codes where students would have this resource from.
-
Communicate the importance of adopted materials to your students. You can ask your publisher’s Sales Representative if they will visit your class to explain the advantages of their resources.
-
Keep Course Material Services apprised of any enrolment changes or other relevant information. Class size increases are the primary cause for insufficient quantities of a resource being available. Also, let us know if your course has a start date that differs from the College’s standard term start date.
-
Stay Informed. Check on the status of your textbook order through the Campus Store website one month prior to classes to alleviate issues at the start of term.
Working together, and keeping in mind these simple points, we can ensure that every one of your students who want to purchase their Course Materials can.
